VolkerWessels Telecom discloses management information from workflow applications with FlowFabric Insights.

As part of a broader digitization strategy, VolkerWessels Telecom (VWT) has developed a workflow application in collaboration with FlowFabric. Across the various business lines, the process from intake to delivery and administration is now uniform and automated. To convert the data that is now structurally recorded in the application into management information for the organization, VWT has opted for FlowFabric Insights. This gives VWT standardized reports and fully integrated dashboards that help serve the customer even better. Mark Ravenstijn, Manager Operations Center at VWT for the business line Reconstructions, explains how he approached this process.

In practice, many organizations still use various Excel sheets to provide insight into data. Different departments are developing their way of reporting, which means that there is no uniformity. Moreover, it takes a lot of time to arrive at clear insights. This is also the case at VWT, says Ravenstijn. “The first step to uniformity was automating the workflow process. The great thing about the application is that every project is recorded from start to finish in a few steps. The recording of projects has been made more specific because the system enforces a particular working method. This ensures uniformity across all business lines and offers project leaders the opportunity to steer in broad terms. The next logical step for us was to visualize all information in clear dashboards. The Excel sheets worked fine for the individual frameworks, but you want to have an overview as a manager. That is why we opted for FlowFabric Insights. “With FlowFabric Insights, dynamic reports and dashboards come within reach of the end-user.

Insights make Mendix applications smarter so that the entire organization can make informed decisions at an operational and strategic level. Ravenstijn: “I’m not an IT person myself, but I know what I want to see. My goal was to move away from reports in Excel for operational management completely. This applies to all our business lines. Together with our BI specialist Peter Andrik, we have mapped out which information we need to access for this. I did this in close collaboration with Roeland van Essen and Pascal van den Hoogen, Managers Operation Centers of the other business lines. I ask a question Peter, who then, together with FlowFabric, looks for a way in which this question can best be answered in the application. In short sprints, we make more and more information available in our dashboards. Consider, for example, providing insight into projects’ turnaround time, predicting start and end dates, or work in progress.

The integration of the dashboards into the workflow application fits seamlessly into VWT’s digitization strategy. “The insights we are now getting based on data ensure that we can make continuous adjustments when necessary,” says Ravenstijn. “By making more and more data accessible, we increase the predictability of the organization. Moreover, the uniform working method and reports ensure that we can also serve the customer better. The ease with which we now have insight into the projects provides peace of mind. It allows you to sit down at the table and work out fun things for the customer to surprise them. You run less behind the facts. In the organization, we already notice that this is fun. You are no longer discussing silly excels. The system has created a new reality. The speed with which we translate wishes from the business into results also creates new energy. People can do what they are hired for, and responsibilities are assigned. We, therefore, look forward to assigning even more value to the data in the coming year and further exploiting the possibilities for forecasting.”
